How they differ
Why people look for a Formstack alternative
Formstack is a workflow platform for organizations: forms, document generation, e-signatures and approvals, sold together. When we checked, it had no free plan, only a trial. Its entry Forms plan included one builder, a limited number of forms and a submission limit on each form, with more users and submissions bought as add-ons.
If what you need is forms and surveys rather than a document workflow, hootform covers it for less. The free plan has unlimited forms and unlimited responses, and Premium is $19 a month for the whole organization, however many people build forms.
What you get with hootform
- A free plan that stays free: unlimited forms and responses, every question type, logic, file uploads, signatures and webhooks.
- One question at a time, with every answer saved as it's given, so you see where people drop off.
- Encryption at rest per form, on by default. See encryption.
- Workspaces and roles for teams, with admin, editor and viewer access.
- AI follow-ups and AI insights on Premium.
Forms first
Formstack's strength is everything around the form: documents generated from answers, signatures on those documents, and approval chains. hootform concentrates on the form itself: one question at a time, logic on every question, encryption at rest and AI follow-ups. It sends the answers to the rest of your tools with signed webhooks.
A worked example
A team of three runs a dozen forms, and the busiest collects 2,000 responses. On Formstack's entry plan that's past the per-form limit, and two more builders are add-ons. On hootform, with the badge left on, it's free, since the free plan includes 3 builders. Removing the badge or adding a fourth builder is Premium, at $19 a month.
Switching from Formstack
There's no importer, so rebuild each form, ideally from a template. Most field types have equivalents, including file uploads, signatures, dates and matrices. Document generation and approval workflows don't: send responses to your own systems with webhooks instead.
Where Formstack fits better
- You want forms, document generation and e-signatures from one vendor, which its Suite plan bundles.
- Your organization already runs approvals and workflows on Formstack.
