Why these questions

A screener decides who you talk to, so it decides what you learn. This template filters out people who don't fit before you spend an hour on a call, and it asks for the one thing that predicts a good session: a specific recent example.

It opens with role and company size. Those are quick to answer and easy to filter on when you're balancing a set of participants. Then comes the behaviour question: how often do you run customer surveys? Swap it for whatever your study is about. Anyone who answers never goes straight to a polite ending, through logic and a second ending, so you don't collect details you won't use.

Everyone else is asked to describe the last time they did it: what they were trying to learn, what they used, and what was hard. This is where you spot good participants. People who can describe a real, recent occasion in detail make great interviews. On Premium, a vague answer gets one follow-up, guided to ask for exactly that kind of detail.

Then come when they could do a 30-minute call, an email for the invitation, and a consent checkbox agreeing to be contacted and to have the answers used for selection. The checkbox records the exact wording each person agreed to.

The template records a source hidden field, so you can see whether people came from your newsletter, your app or a recruiting post.

Choosing participants: export the responses, filter by role, size and frequency, then read the recent examples and pick the most specific.

How the logic works

Each rule is checked once its question is answered, and the first one that matches decides where the respondent goes next. How logic works

  • After “How often do you run customer surveys?”: if the answer is “Never”, finish on the “Thanks for your time.” ending.

Questions people ask

How do I screen out people who aren't a fit?

Put a logic rule on the question that decides it. Here, "never" sends people straight to a "thanks, not this time" ending before they're asked for contact details.

Can I offer an incentive?

Yes. Mention it on the welcome screen. The template already says the session is paid. Send the incentive yourself after the call.

How many people should I invite?

Usually two or three times as many as you need, since not everyone replies to an invitation. Pick the ones with the most specific recent examples first.

Are participants' details kept private?

Turn on encryption and email addresses are encrypted at rest. Only people with access to the form's workspace can read the responses.
