Why these questions

A good application form asks for what you'll actually use to shortlist people, and nothing else. Every extra field costs applicants, and the best candidates, who have other options, are the first to give up.

This template asks for name, email and an optional phone number, then where they're based ("city and country is plenty"), which settles time zones and right-to-work questions early. Experience is a dropdown of ranges rather than a number, because "3–5 years" is what you'll filter on anyway.

Instead of a file upload, it asks for a link to a CV, portfolio or LinkedIn. Candidates already have one, it's faster on a phone, and it shows you their work in the form they chose to present it. If you'd rather have files, swap the question for a file upload. It stores CVs with the response, and encryption covers the files too.

The one open question is "Why this role, and why now?" It's the question that separates a considered application from a mass one. A start date and a consent checkbox, which records the exact wording each candidate agreed to, finish it.

To make it yours: put the job title in the welcome screen, add a source hidden field to each job-board link so you know where applicants came from, and turn on notifications so the hiring manager sees each application as it lands.

Questions people ask

Can applicants upload a CV?

Yes. Replace the link question with a file upload question and choose documents only. Free forms take files up to 10 MB and Premium forms up to 25 MB. You download each file from the response.

How do I close the form when the role is filled?

Close it by hand from the form's page, or set it to close on a date or after a number of responses. See close conditions.

Is applicant data kept private?

Turn on encryption and the email address, phone number, link and start date are encrypted at rest. Free text, such as a name, is kept readable. You can also delete responses automatically after a set number of days with retention, a Premium feature.

Can several people review applications?

Yes. Invite the hiring team to the workspace as viewers or editors. Free organizations include 3 people, and Premium includes everyone for one price.
