Version history Premium

Look back at earlier versions of a form and restore one, and what happens when two people save at once.

hootform keeps earlier versions of every form, so a deleted question, a broken logic rule or a redesign you regret can be undone. Open a form, then choose Version history from the ⋯ menu at the top of the form. Clicking Unpublished changes in the header opens it too.

What's kept

A version is a copy of everything you edit in the builder: questions, logic, scores, endings, the welcome screen, design, translations and the form's settings. One is kept:

  • Every time you publish something that changed. The version respondents see now is marked Live.
  • While you edit. When you start editing after a break of 10 minutes or more, the draft as it was before you started is kept, and again every 10 minutes while you keep going. These show as Autosaved while editing.
  • When you choose Save version and give it a name, like "Before the redesign". Named versions are kept for as long as the form exists.
  • Before anything replaces your draft: a restore, a discard, or a teammate's save that collided with yours.

Published and named versions are kept for as long as the form exists. Of the rest, the latest 20 are kept. To keep one for good, choose Rename and give it a name.

Each version in the list says who made it, when, and what changed since the one before it, like 2 questions added · design changed. Choose one to see every screen as it was.

Some settings take effect as soon as you change them, so they aren't part of a version and restoring doesn't change them: the password, encryption, close conditions, response retention, notifications, webhooks and Google Sheets. Restoring doesn't rename the form either.

Restoring a version

Choose a version, then Restore this version. The version becomes your draft, and the draft it replaced is kept as a version first, so you can restore that one to change your mind.

Restoring never changes what respondents see. They keep seeing the live form until you choose Publish changes, and publishing runs the usual checks. Responses aren't changed either. Answers are stored against each question, so a question you deleted and then brought back with a restore gets its earlier answers back.

Only workspace editors can restore, rename and save versions. Viewers can look through the history.

Discarding unpublished changes

To throw away everything you've changed since the last publish, choose Discard unpublished changes from the ⋯ menu. The draft goes back to the live version. What you discarded is kept as a version (Before discarding changes), and you can restore it on any plan.

When two people save at once

hootform saves as you type (Autosave), and every save says which version of the draft it was built on. If a teammate saved the form after you opened it, the first save is kept and yours waits. Nobody's work is overwritten without them knowing:

  • A banner says who changed the form and when, and the top bar says Not saved. You can keep editing meanwhile.
  • Keep my version saves yours over theirs. Use their version switches you to theirs.
  • Whichever you don't keep is saved in Version history as Kept from an editing conflict, on any plan. Yours is saved there as soon as the banner appears, so closing the tab before choosing loses nothing.

The same happens if you have the form open in two tabs. If you have no unsaved changes when a teammate saves, the builder quietly switches to their version and says so. An open form checks for other people's saves every so often, and whenever you come back to its tab.

Publishing is checked the same way: if someone saved the draft since you last saw it, Publish is refused, so you never put live changes you haven't seen.
